Viewing Grant Application Status and Routing

To help you track your grant application through the preparation, submission, review and awarding processes, eGrants maintains and displays information on all work performed.

Each grant uses a “workflow” to route the grant applications through each step required for their successful processing.  The individual steps in the process are recorded as separate workflow events.

The actions and the users who performed them are recorded throughout the system,. 

When you select a grant application, you can research the work performed and the current status using several different eGrants displays.

Grant Application Status
The overall grant application status indicates if the grant application is “In-Process” with the Agency or “Under Review” with the Program Office.  The Project Status is displayed in the blue information bar at the top of every Project Detail Screen.

Grant Application Workflow Step
The workflows that manage movement of applications through the system are completed in steps.  Each step is identified by a “status” name that describes the project’s current activity, such as “Project Created,” “Complete and Submit,” “Technical Review.”  The current Grant Application Workflow Step is displayed in the blue information bar at the top of every Grant Application Detail Screen.  A complete history of the workflow is available from the Routing / Workflow option of the Grant Application Detail Screen.

Workflow Events
In addition to displaying the current Workflow Step, the Routing / Workflow screen displays details about the step:

Begin Date:  The date the grant application moved to the current workflow step.

End Date:  The date the workflow step was completed.

User:  The user ID of the person who completed the workflow step.

Description:  An additional description of actions performed by the system, such as “Project Record Created,” when applicable

Section Status
Each section of questions on an application is identified as “complete” after the required answers have been entered.  The grant preparer clicks the Mark Section Complete button after answering questions.  The Mark Section Complete process initiates system checks (“business rules”) to verify that the section is completed accurately.  For additional reference, section status is displayed in the Routing / Workflow option of the Project Detail Screen.

View Grant Application Status History > Step-by-Step

The current grant application status appears in the blue information bar at the top of every Grant Application Detail screen.  You also can view the project’s history at any time during the application preparation, submission, review and awarding process.

To view a project’s complete routing history:

1.       Verify the Program Office in the upper right corner.  To change the program office, click the link to open the Select Program Office window.  Click SELECT beside a Program Office.

2.       Verify the Program Year in the upper right corner.  To change the year, click the link to open the Select Program Year window.  Choose a new year and click OK.

3.       From the main menu, click Grants Management.  The dropdown menu appears.

4.       Click Grant Application Summary.  The Grant Application Summary screen appears.

5.       Click the arrow beside a grant name to expand its group and view all grant applications currently in-process. 

6.       Click the Select icon Description: 00padpencil in the row to view full details for a grant application.  The Grant Application Detail screen appears.

7.       In the Administrative Functions pane on the right, click Routing Workflow.  The Project Routing screen appears.

8.       Three tabs are available to allow you to track the information you need.  Information is listed only for completed or current steps.  Information may not available on all tabs.

  Status
The selection grid displays the dates the System Status was updated.

  Workflow Status
The selection grid displays all the workflow steps completed or in-process for the grant application.

  Section
The selection grid displays review status for each section in the grant application.

Click one of the tabs to view the appropriate selection grid.

9.       Review the details as needed.

Status

Read-Only

The Status displays the system-generated status for each event.

Step/Status

Read-Only

The Step/Status displays the current step in the workflow.  Program Offices configure workflows individually for each grant to ensure that grant applications are routed for review, approval and awarding properly.

Begin Date

Read-Only

The Begin Date indicates the date the current status or step was initiated.

End Date

Read-Only

The End Date indicates the date the current status or step was completed, usually by a specific user action.

User

Read-Only

The User ID identifies the user that perform the action needed to complete the step.

Description

Read-Only

The Description identifies work performed by the system when the step was completed, such as creating a record, saving a file, etc.

10.   To return to the original Grant Application Detail screen, click the Back to Grant Application button.
