Applying Authorized Signoffs

An “Authorized Signoff” is any electronic approval recorded in the eGrants system.  The electronic signoff is required to complete certain steps so a project can move to the next step.

Authorized Agency users and Program Office reviewers are required to apply Authorized Signoffs at various stages of application processing.

For Agencies, at least Authorized Signoff is required before a project can be submitted to the Program Office.  Depending on the program terms, more than one signoff may be required.

Not all users have Authorized Signoff privileges.  The User Administrator assigns the Authorized Signoff role only to users who are responsible for approving a project.  At least one user in each Agency must be assigned the Authorized Signoff role.

The Authorized Signoff option appears on all Grant Application Detail screens.  When a user selects the option:

All pending and completed Agency signoffs are displayed on an Authorized Signoff Summary screen.

eGrants verifies the user role to confirm that the user has the proper Authorized Signoff role.  If the user is authorized, the Signoff option becomes available.  If the user is not an authorized approver, the signoffs are available for viewing only.

eGrants determines if a user is required to sign contract documents or if only an electronic signoff is required. 

When an authorized user selects the Signoff option to apply a signoff:

 If the user is required to sign the contract documents, the Printed Signature option is available to allow the user to complete a signoff, print the final contract documents, and sign the agreement.

If the user is required to sign the contract documents, the Electronic Signature option also becomes available to allow the user to sign the document electronically.  Agency users must register with the Pennsylvania Department of Education before using electronic signatures.

If only the authorized signoff is required (consortium member applications, etc.), a verification window appears to enable completion without applying a signature.

 

COMPLETING AN AUTHORIZED SIGNOFF.  After an authorized signoff has been applied, the project is ready to submit to the Program Office.
