Enter Data in Pre-formatted Fields > Step-by-Step

Some text fields are pre-formatted to enable the entry of certain types of data (letters or numerals) or the entry of data in a specific format (zip code, etc.).  Entry is restricted to data in the proper format.

Pre-formatted fields usually appear as single-line rectangles.  Note that some table fields also can be pre-formatted to restrict data entry.

To enter data:

1.       From the current Grant Application Detail screen, click a section name to display its questions.

2.       Click inside the field or press TAB to position the cursor.

3.       Begin typing.

4.       Use the standard arrows and editing keys to select, delete and edit text.

5.       To exit the field, click another field or press TAB.

Some restricted fields enable the use of copy, cut and paste functions.  Copy (CTRL+C), cut (CTRL+X) and paste (CTRL+V) to insert text from other fields or other documents.

The following types of pre-formatted fields are commonly found in eGrants questions:

Numeric Fields
Only numerals are allowed.  Pasting is permitted.

Currency Fields
Only numerals are allowed.  Commas are not required to indicate thousands.  Type the decimal only if the currency amount includes cents.  Pasting is permitted.

Zip Code Fields
Only numerals are allowed.  Type the five-digit zip code or the nine-digit zip+4 code.  No hyphen is required.  Pasting is permitted.

Phone/Fax Number Fields
Only numerals are allowed.  Type the three-digit area code and the seven-digit phone number.  Do not type hyphens.  Pasting is not recommended.

Web Addresses / Email Addresses
Type the web or email address.  Pasting is permitted.  The field is checked for proper formatting.  A warning message appears if the format is not recognized.  For emails, the system also displays a message to verify that an email is registered to a user account (“Email in use”).

Calculations
Some questions may include fields for entry of numeric data, with a read-only field that calculates values and fills automatically.  The calculation field updates as soon as the entries in the other fields are complete.
